6.2 Requirements for Grant Completion

By the end of this chapter, you will be able to:

  • Understand the grant deliverables required to complete your grant project.

The various grants available have different requirements to be considered complete. Below is a checklist for each grant type, with more detailed explanations of each requirement in the next section. This checklist is also included in your grant acceptance letter. Not all requirements may be applicable to each project. Library staff will work with each recipient to verify which requirements are applicable, but the checklist still serves as a good guide for completing your project. Please direct all questions or concerns regarding grant requirements and deadlines to oer@weber.edu.

OER Grant Checklists

To mark a grant project as complete, the OER Grant program requires the following deliverables:

Adopt Grant Checklist

  • Completed the OER Basics Course.
  • Met with OER Grant staff for Initial Training.
  • Completed an Accessibility Review of your OER.
  • Verified your OER Active Use Status.
  • Reported the Adoption of your OER to the campus bookstore.
  • Submitted an Updated Syllabus.
  • Submitted a Summary of Experience.

Adapt Grant Checklist

  • Completed the OER Basics Course.

OER Requirement Details

This is an alphabetical list detailing grant requirements for all grant types. Some requirements such as Initial Training and OER Basics course will be completed at the beginning of your project, others such as Summary of Experience will be completed at the end.

 

Accessibility Review

Grant recipients have worked with a WSU Online Instructional Designer to review finished content and ensure seamless integration with Canvas, as needed. Accessibility of course materials is important to the goals of the OER Grant and to WSU. Therefore, all content must be as accessible as possible, following WCAG 2.1 guidelines. The Instructional Designer will provide feedback on any needed changes to improve accessibility prior to the grant project being considered complete.

Acknowledgement Statements and Metadata

The OER Grant program is often funded by external donors in addition to the various divisions on campus. An acknowledgement statement thanking the donors must be included in all finished resources for Adapt, Create, and Maintenance projects. This is often included in an Acknowledgements section in the front matter of the book, but ultimately this determination is made by the author. Because the donors can change from year to year, library staff will provide the statement to the project lead and will also verify its inclusion prior to the grant project being considered complete.

Adoption of your OER

Grant recipients have reported the use of OER content to the campus store in the semester it is used as part of textbook adoptions to meet HEOA reporting requirements. This benefits students to know what materials will be used and assists in measuring OER use and impact on campus. We understand that the adoption deadline often occurs before an OER may be ready, and it is possible to amend an adoption later after the OER is completed. Library staff (oer@weber.edu) or bookstore staff (textbookordering@weber.edu) are available to answer questions in this regard.

Copyright and Citation Review

Grant recipients have worked with a library staff member to review finished content. Proper attribution and citation of content is important for development of OERs, and the OER Grant program requires all projects to carry an open copyright license. All adapted and borrowed content should be attributed and include Title, Author, Source, and License where possible. Library staff will provide feedback on any needed changes to improve citation prior to the grant project being considered complete. Library staff will confirm that the open license selected by the author is clearly displayed in the resource prior to the grant project being considered complete.

Initial Training

OER Grant staff will schedule an introductory meeting for grant recipients to meet the instructional designer and library staff that will be supporting the grant project. At this meeting grant recipients will share the project goals, timeline, and format of the finished product. Support staff will then offer guidance based on the needs of the project, with a focus on accessibility and copyright. Advanced knowledge in these areas reduces the need to revise common mistakes at the end of the project.

List of Discovered Resources

Research Grant recipients have compiled a list or report of the open resources discovered and evaluated during their content search. It is understood that the length of the list will vary based on the availability of open resources in different subject areas. This list must be emailed to oer@weber.edu for the grant project to be considered complete.

OER Active Use Status

Grant recipients (excluding Research Grants) must teach with the OER in a WSU course at least once during the working period of the grant or within the following academic year. It is understood that teaching assignments and course schedules often change outside of your control. If it turns out that you will not be teaching the applicable course at the time you anticipated, or if different instructor will be using the resource instead, please alert us at oer@weber.edu.

OER Basics Course

Research Grant recipients have completed the OER Basics course. Library staff will enroll recipients in this course in the semester following grant selections being made. A certificate of completion will be provided at the end of the course, and this must be emailed to oer@weber.edu for the grant project to be considered complete. You can also self-enroll or preview the OER Basics course on Learn Weber. If you have already completed the course in the past, this can count toward fulfilling this requirement by emailing your completion certificate to oer@weber.edu.

Summary of Experience

All grant recipients must complete a summary of their experience working on their grant project. The summary must be at least 200-300 words but can be longer if you wish. There are no specific requirements for the content of this report, though some common topics are listed below. Hearing feedback on your experience helps improve the structure and support services for the next round of grants as we learn of common pitfalls and needs. This summary must be emailed (as a file or in the email body) to oer@weber.edu for the grant project to be considered complete.

Topic suggestions:

  • Search strategies to discover resources.
  • Explanation of your resource evaluation criteria.
  • Explanation of your workflow and timeline; what did or didn’t work.
  • Areas you struggled or succeeded, and why (searching, evaluating, writing, editing, etc.).
  • Experience in working with your project team.
  • Experience in teaching with the new resource.
  • Types of support you would need in order to consider using OER in other courses.
  • If resources were piloted during the grant period you are more than welcome to include feedback from other members of your grant team, other instructors using the resource, or students in the course using the resource.

Updated Syllabus

In conjunction with verifying the active use of the OER in an upcoming course, grant recipients must update their syllabus to reflect the use of the OER in their course. This updated syllabus must be emailed to oer@weber.edu for the grant project to be considered complete.
