Monday.com is our project management tool. It enables us to share project responsibilities, communicate, and report on our tasks. There are several types of boards used such as project tracking, communicating, and resources.  These include but are not limited to:

  • Accessibility Remediation
  • Course Development
  • ID Service Requests
  • Special Projects
  • Time Off

Course Development Boards

Instructional Designers are responsible for keeping the following columns up to date:

  • Progress
  • Foundations of Course Design (FCD)
  • Design Plan
  • Development
  • Accessibility
  • Quality Review (except “Done” status)

Quality Review Column

  • Ready for Review: The ID/SME have finished the course and it is ready to go to quality review.
  • Waiting for Review Response: The course has been sent to quality review but the reviewers have not completed their review.
  • Review Done: The quality review is complete but the ID/SME has not written a response yet or revised the course.
  • Revising: The ID/SME are revising the course based on the quality review.
  • Response Done: The ID/SME has completed the response to the quality review and is waiting for approval from the IDS Director.
  • Done: The IDS Director has approved the quality review. All steps in the review process are complete.
  • N/A: Course is not going through the quality review process.
  • Stuck: There is something preventing completion of the quality review process.

Course Design Plan and Quality Review Notifications 

  • @mention Seth when updating course developments indicating the Course Design Plan is complete and course is ready for review
  • Change the Design Plan column to “Done”
  • Seth will @mention the ID when payments are initiated

Weekly Updates

Complete the following steps as part of your weekly update process. Weekly updates should be complete by 4:00 pm each Friday. You may update throughout the week if you like. The steps are listed by order of priority.

  1. Address as many @ mentions and relevant updates as needed
  2. Update IDS course development boards
    • Submit major updates for individual courses
    • Change FlexStudio, Design Plan, Development, Accessibility, and Quality Review statuses as appropriate
    • Adjust Progress column if needed
    • If there has been no progress, please indicate no progress has occurred
  3. Update special projects board (if applicable)
  4. Update ID Projects board
  5. Update Time Off board (if applicable)
  6. Update Weekly report with any items not included or where more elaboration is needed.

Towards the end of each semester, the IDS Director will request that the Instructional Designers assigned to the course declare whether work on the course will be carried over to the next semester.

Time Off Boards

Time Off boards allow Instructional Designers and the IDS Director to track time off requests and grant approval. Time Off boards do not replace TIMS as the official time tracking system of UVU. All leave should be recorded in TIMS.

All Time Off boards should be named “[name] – Time Off.” The boards should be made private and shared with Seth (ID II/III) or with your supervising Instructional Designer (ID I).

Private Work Boards

Staff are welcome to use Monday.com to create other private boards for work responsibilities. Our Monday.com license allows for an unlimited number of boards to be created.
